What do we do with your information?

When you sign up for a subscription from our site, we collect the personal information you give us such as your name, address and email address.

When you browse our site, we also automatically receive your computer’s internet protocol (IP) address to provide us with information that helps us learn about your browser and operating system.

Email marketing: With your permission, we may send you emails about our site, new products and other updates.

Consent

How do you get my consent?

When you provide us with personal information to complete a transaction, verify your credit card, or browse our website, you consent to our collecting it and using it for that specific reason only.

If we ask for your personal information for a secondary reason, like marketing, we will either ask you directly for your express consent, or provide you with an opportunity to say no.

How do I withdraw my consent?

At any time, you may withdraw your consent for us to contact you, for the continued collection, use or disclosure of your information, by contacting us at support@getscribeware.com, or mailing us at: ScribeWare Inc, 16823 33rd Ave SW, Burien, WA 98166.

Disclosure

We may disclose your personal information if we are required by law to do so or if you violate our Terms of Service.

Hosting

Our site is hosted on Amazon AWS and Google Cloud  They provide us with the online hosting services that allow us to sell our products and services to you. All financial data is securely stored on Stripe servers.

Third-Party Services

In general, the third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide to us.

However, certain third-party service providers, such as payment gateways and other payment transaction processors, have their own privacy policies in respect to the information we are required to provide to them for your purchase-related transactions.

For these providers, we recommend that you read their privacy policies so you can understand the manner in which your personal information will be handled by these providers.

In particular, remember that certain providers may be located in or have facilities that are located in a different jurisdiction than either you or us. So if you elect to proceed with a transaction that involves the services of a third-party service provider, then your information may become subject to the laws of the jurisdiction(s) in which that service provider or its facilities are located.

As an example, if you are located in Canada and your transaction is processed by a payment gateway located in the United States, then your personal information used in completing that transaction may be subject to disclosure under applicable provisions of the United States Code.

Once you leave our website or are redirected to a third-party website or application (including by clicking third party links on our site), you are no longer governed by this Privacy Policy or our website’s Terms of Service.

Google Calendar Integration

ScribeWare offers an optional integration that connects your Google Calendar to your ScribeWare inspection schedule. This section describes how ScribeWare accesses, uses, stores, and shares Google user data. It applies only if you choose to connect a Google account; the rest of ScribeWare works without it.

What we access

When you connect your Google account, you grant ScribeWare two permissions:
See and edit events on your Google Calendar (https://www.googleapis.com/auth/calendar.events) so ScribeWare can add your inspection appointments to the calendar you choose, update them when an inspection is rescheduled, remove them when one is cancelled, and read existing events so it does not offer a booking slot when you are already busy.
See the list of calendars on your account (https://www.googleapis.com/auth/calendar.calendarlist.readonly) so ScribeWare can show you your calendars and let you choose which one receives your
inspections and which ones count as busy time.

We do not request access to your Gmail, Drive, Contacts, or any other Google service.

What we store from Google Calendar

From events on the calendars you select, ScribeWare stores only the event identifier, the calendar identifier, the event title, and the start and end times. We do not store or transmit attendees, descriptions, locations, attachments, conferencing links, or organizer details. Stored events are limited to a rolling window of one day in the past through sixty days in the future.

We also store the authorisation token Google issues so the integration can keep working without asking you to sign in repeatedly. Every appointment ScribeWare creates on your calendar is tagged with a private marker, so ScribeWare only ever modifies events it created and never alters your own events.

This data is held in Google Cloud Firestore in the United States and is encrypted at rest.

How we use information from Google Calendar

Google user data is used solely to operate the calendar features described above: showing your inspections on your calendar, and preventing double-booking on your online scheduling page. It is not used for any other purpose.

How we share information from Google Calendar

We do not sell Google user data. We do not share it with third parties or use it for advertising. ScribeWare personnel do not read your calendar data except with your explicit permission to resolve a support request, or where required for security or by law.

Retention and deletion of Google Calendar Information

You can disconnect Google Calendar at any time from Settings in the ScribeWare app. When you disconnect, ScribeWare revokes its access with Google and deletes the stored authorisation token together with all calendar data it had stored for your account. Deleting your ScribeWare account removes this data as well.

Artificial intelligence and machine learning

ScribeWare uses AI features in parts of the product unrelated to this integration. Google user data is never provided to any artificial intelligence or machine learning system, whether operated by ScribeWare, by Google, or by a third party. Google Calendar data is walled off from these systems by an access restriction enforced in our software, not by policy alone.

We do not use Google user data — raw, aggregated, anonymised, or derived — to develop, train, or improve any generalised or foundational AI/ML model, and we do not transfer it to any third party that would.

Limited Use of information from Google APIs

ScribeWare’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Security

To protect your personal information, we take reasonable precautions and follow industry best practices to make sure confidential information is not lost, misused, inappropriately accessed, disclosed, altered or destroyed.

If you provide us with your credit card information, the information is encrypted through secure socket layer technology (SSL) and is typically not stored on our servers.

Cookies

Depending on how you’re accessing our products, we may use “cookies” (a small text file sent by your computer each time you visit our website, unique to your account or your browser) or similar technologies to record log data. When we use cookies, we may use “session” cookies (that last until you close your browser) or “persistent” cookies (that last until you or your browser delete them). For example, we may use cookies to store your language preferences or other settings so you don‘t have to set them up every time you visit scribeware.com. Some of the cookies we use are associated with your account (including personal information about you, such as the email address you gave us), and other cookies are not.

Age of Consent

By using this site, you represent that you are the age of majority in your state or province of residence.

Changes to this Privacy Policy

We reserve the right to modify this privacy policy at any time, so please review it periodically. Changes and clarifications will take effect immediately upon their posting on the website.

If our site is acquired or merged with another company, your information may be transferred to the new owners so that we may continue to sell products to you.
