How to Use AI for Report Writing in ScribeWare

A screen running ScribeWare's AII Concierge MCP

ScribeWare’s AI Concierge MCP (and Claude connection) has been a fantastic experiment. It has allowed some of our more adventurous tech explorers to start plumbing new workflows, new ways of manipulating templates, and new pre-inspection and post-inspection AI-powered checks.

AI is already saving ScribeWare inspectors hours of work and improving report quality — but it’s going to get a lot better. This has just been the experimental phase.

The MCP connection: AI that works inside ScribeWare

MCP (Model Context Protocol) is a way for an AI assistant to connect to software and use it directly. ScribeWare’s MCP connection lets an AI assistant like Claude read and edit your ScribeWare account: your templates, chapters, fields, comment libraries, and reports.

That’s the key difference from copying and pasting into a chatbot. Instead of the AI telling you what to change, it can make the change for you — and you review the result in ScribeWare.

In plain terms, you can type something like “Add a sump pump section to my basement chapter with the five most common defects” and watch it happen. Today the connection runs through Claude Desktop on your computer.

The incredibly powerful feature here is not just a read-only AI connection but a read-and-write connection. AI now speaks ScribeWare and understands how to build chapters, sections, gunnysacks, inspector-only notes, buttons, smart tags, and more. It can add contractor tags and required fields and check your template against required SOP’s where you work.

AI Concierge key use 1: Template work in minutes, not weeks

Template work is where the MCP connection shines today. Template customization that used to take days of clicking can now be done in minutes and hours:

  • Adding or reorganizing chapters, sections, and fields
  • Writing and editing comment libraries in bulk
  • Building default gunnysack or parent comment buttons into the bottom of every chapter.
  • Linking library comments to the right fields
  • Setting up contractor tags across an entire template
  • Building specialty templates, like a well or phase inspection, from scratch

Build from an example. If you know what you want but don’t want to build it by hand, load an example report and ask the AI to copy its structure. It can read a sample PDF — from your old software, a colleague, or a specialty report you admire — and build a matching ScribeWare template: the chapters, the fields, and the comment library. For inspectors switching from another system, this can turn a months-long migration into an afternoon.

The good news is that you stay in charge. Review what it builds, ask for changes, and refine until the template works the way you inspect.

AI Concierge key use 2: Pre-inspection listing checks let you arrive already knowing the house

Before you leave for the job, AI can research the property and get your report started. Give it the address, and it can go online to find:

  • Building permits and their status, like a new roof, an addition, a water heater, electrical work
  • Listing details such as year built, square footage, foundation type, heating fuel, and photos
  • Any available history on the house that’s worth checking in person

Then it can suggest what to fill in before you arrive: property details, likely systems and materials, and items to look at closely. A permitted roof from five years ago, or a remodel with no permit on record, is the kind of thing you want to know before you’re standing in the driveway. You can even have it build links to the actual digital permits.

You still verify everything on site. But you start the inspection informed, with less typing left for later. You could even prompt the AI to flag known concerns that could be likely for a building of this age, type, or location.

“1970 house – watch out for solid conductor aluminum and add a lead and asbestos note.”

AI Concierge key use 3: Pre-send checks give you a second set of eyes on every report

Before your report goes out, have AI check it. A pre-send check reads the whole report and flags problems you’d rather catch now than hear about from an agent:

  • Grammar and spelling
  • Unclear or inconsistent wording
  • Blurry or rotated photos
  • Captions that don’t match the comment they’re attached to
  • Defects missing a contractor tag, or tagged to the wrong trade
  • Required fields left empty, or placeholder text that never got updated
  • Your own house style rules, whatever they are

You can build your own checklist and run it the same way on every report. It catches more than a standard grammar tool because it understands the context of an inspection report. It also shows you patterns: if the same fix keeps coming up, that’s a sign your template needs an update.

Coming soon: cloud-connected AI

Today’s MCP connection runs on your desktop. Next, ScribeWare is bringing AI into the cloud, built into the product. This means:

  • Purchase your AI through ScribeWare. No separate AI account or setup required.
  • Have AI help you set up and customize your template as you work.
  • Have AI help you make sure you are using the best and most efficient workflows.
  • Works across teams. Owners and team leads can set up templates and workflows that the whole team uses, and keep improving them over time.
  • Works on mobile. AI goes with you into the field, not just back at your desk.
  • Navigation-free walk-and-talk workflows. Take photos, describe what you see by voice or with smart tags, and let AI assemble the report the way your template is set up. Less tapping through chapters, more time looking at the house. Still produce a report that sounds like you

Walk-and-talk done right

Plenty of inspection software companies are showing off fast walk-and-talk workflows. They look great in a social media reel. In practice, they don’t always hold up.

When AI writes your report from scratch, it writes like a computer. It can drift from what you actually saw, soften or overstate a defect, or invent details that were never there, which is something the AI world calls hallucination. That’s a liability problem, not just a style problem.

So ask yourself: do you want to deliver reports that sound like they were written by a computer, or reports in your own language, from your own template, that sound like you?

ScribeWare is building walk-and-talk to be safe and structured. Your template is the guardrail. AI takes what you capture in the field and matches it to the comments, conditions, and recommendations you’ve already written and approved. It assembles your report in your words, rather than improvising new ones.

Walk-and-talk is optional. If you like your current workflow, keep it — or blend some parts of your inspection with your existing workflow. AI will help either way.

In the meantime, the AI Concierge MCP connection is available now.

Cloud-connected AI should be rolling out in the next month.
